How to import a Microsoft Access resources list into Microsoft Project file

In my previous blog post, I explained the settings you would need to change in Microsoft Project to ensure you’re able to import a Microsoft Access database. In this article, I’ll go through the steps required to import your Access database file into Project. This is a great feature if the user responsible for the development of a Microsoft Project plan wants to delegate work to other team members who do not have Project installed or do not know how to use the application. These files can contain resource information, task information or assignment information. To start the process of importing, follow the steps listed below:
  1. Open a New project file.
  2. Click the File –> Open options.
  3. In the Look in: field, select the folder where your Microsoft Access file is located.
  4. For Files of Type:, select Microsoft Access Databases.How to import a Microsoft Access resources list into Microsoft Project file
  5. Double-click the file you want to use. The Import Wizard dialogue box will display the below.How to import a Microsoft Access resources list into Microsoft Project file

  7. Select New Map. Maps are a set of instructions telling Microsoft Project how to import the selected file.How to import a Microsoft Access resources list into Microsoft Project file

This window gives you 3 options:

  • As a new project – select this options if you want to import access data into a new project file.
  • Append the data to the active project – select this options if you want to import access data into an existing project file.
  • Merge the data into the active project – select this options if you want to import access data into an existing project file and to merge it with the existing project information.

  2. Click Next to continue. The window below is displayed. Here you have to select the source database table that holds the resources information. You also have to map the fields.How to import a Microsoft Access resources list into Microsoft Project file
  3. Click Next to continue.
  4. Save the map if you want to use it again
  5. Click Finish.
And there you go, the resources from the Microsoft Access database are copied into the Microsoft Project file.
